School trip itinerary template

A school trip itinerary is not a holiday itinerary with more people on it. It has to answer questions from three audiences who never see the same document: the teachers running it, the parents who signed the forms, and the school office that will be called if anything goes wrong.

Most templates only serve the first one.

What a school trip itinerary must carry

The operational spine — same as any trip, but with names attached:

The compliance layer, which is what actually gets a trip cancelled:

The parent-facing layer:

The part templates never solve

A school trip's real work is not the document. It is the six weeks before it, chasing thirty-eight families for four items each. A spreadsheet tells you what is missing; it does not ask anybody for it.

That is the part Viaquo automates: each family gets a private link showing only their own child's outstanding items, reminders go out on a schedule instead of on your evenings, and the collection grid tells you at a glance who is holding the trip up. When a flight moves, every parent hears the same thing at the same time, from you, in their own language.
