Groups, leaders and rooming

A forty-person departure is not one list of forty. It is a bus, four families, two chaperones and a rooming plan.

Sub-groups

Create groups within a trip — "Bus A", "The Ferrari family" — and assign travellers. A group can carry:

• a leader, who sees their own group's status,
• its own price and balance, so families are chased for their own money rather than the trip total,
• its own headcount, for check-ins along the way.

Leaders

A leader gets a portal link showing their group: who is travelling, what documents are outstanding, the itinerary, and their balance. They can upload documents on behalf of their people — see requesting documents and chasing them.

A leader who is also a traveller sees both their own trip and their group, through the same link.

Rooming

Assign travellers to rooms per hotel segment. Each traveller's daily brief then includes their own room and who they are sharing with, on the day it applies (what the concierge sends, and when).

Chaperones and guardians

Chaperones are travellers marked as responsible for others in a group. Guardians are contacts responsible for a minor — they receive that traveller's important messages alongside them, prefixed with the child's name, so parents stay informed without being on the trip.
