Load your first trip

Create a trip, add travellers and get the itinerary in — by hand, by flight number, or by dropping in the booking PDFs.

Load your first trip

A trip is the container for everything else: travellers, segments, documents and the conversations that follow. You can have a working one in a couple of minutes.

1. Create the trip

From Trips → New trip, give it a name your team will recognise ("Pérez family — Japan 2026" beats "Japan"), a destination, and the start and end dates.

Set the Timezone to the destination's zone.

Then open Edit trip and set Departing from — where the travellers set out. This is the clock your pre-trip messages are scheduled on, and without it an 08:00 briefing can land in the middle of their night. It lives on the edit form rather than the create form, so it is easy to miss.

2. Add the travellers

In the trip's Travelers section, use Add traveler. If the person already exists in your contacts, start typing and pick them; their language and channel come with them.

Set each traveller's language — every automatic message and every answer follows it.

3. Get the itinerary in

Three ways, cheapest first:

By flight number. For flights, type the flight number and date. The real schedule fills in: airports, terminals, times, and both timezones. Do not hand-type flights — this is faster and it cannot transpose a digit.

By PDF. Use Import PDFs (AI) in the trip's itinerary section and drop the airline and hotel confirmations in. Each file is read and comes back as proposed segments with a confidence score. Nothing is saved until you approve it, and nothing unapproved ever triggers a message to a traveller.

By hand. For anything unusual, add the segment directly. The one field people miss is Ends in (timezone) — set it whenever a segment finishes in a different zone, including coaches, trains and ferries.

4. Invite the traveller

Each traveller has an invite link that connects them to your chat channel. Send it however you already talk to them. Once they open it, the concierge introduces itself and they can ask anything about their trip.
